Getting Started

What is AetherFlow?

AetherFlow is a SaaS platform for migrating content between Enterprise Content Management (ECM) systems. It handles the heavy lifting of extracting documents, metadata, permissions, and folder structures from one system and loading them into another — with full audit trails and zero data loss.

How does the migration process work?

AetherFlow uses a three-tier architecture: a cloud-based control plane (dashboard, flow builder, monitoring) and a local agent that runs on your network and performs the actual data movement.

You configure a migration flow in the dashboard — select source and target connectors, map document types and metadata fields, set filters and transformation rules — then start the flow. The local agent connects to both systems, reads from the source, transforms as needed, and writes to the target. Progress, errors, and audit logs stream back to the dashboard in real time.

Do I need to install anything?

Yes — the AetherFlow Agent is a lightweight application that runs on a Windows server within your network. It connects to your source and target ECM systems directly and communicates with the AetherFlow cloud dashboard via outbound HTTPS. No inbound firewall rules are required. The agent installer takes about 5 minutes to set up.

How long does a typical migration take?

It depends on volume and complexity. A migration of 100,000 documents with metadata typically completes in a few hours. Larger migrations (millions of documents) can run over days or weeks. AetherFlow supports pause/resume, so you can run migrations during off-hours or in phases without losing progress.

Which ECM systems does AetherFlow support?

AetherFlow supports a growing list of ECM platforms including Hyland OnBase, Square 9, FileHold, Microsoft SharePoint, OpenText, and more. Each connector handles the specific API and data model of its platform.

Can AetherFlow migrate between any two supported systems?

Yes. Any source connector can be paired with any target connector. AetherFlow normalizes documents and metadata into a common intermediate format, so you can migrate from OnBase to SharePoint, SharePoint to FileHold, or any other combination.

What if my ECM system isn't listed?

Contact us. Enterprise plans include custom connector development. If your system has an API or export capability, we can likely build a connector for it. We also support generic connectors for file system, SQL databases, and CSV/XML imports.

Does AetherFlow handle metadata and permissions?

Yes. AetherFlow migrates not just document content but also metadata fields, folder structures, document types, keywords, and — where the target system supports it — security permissions. The MetaMap feature lets you visually map fields between source and target schemas.

Security & Data Handling

Does AetherFlow store my documents?

No. AetherFlow never stores your document content. Documents flow directly between your source and target systems via the local agent running inside your network. The cloud dashboard only receives metadata, progress updates, and audit logs — never document content.

How are my credentials secured?

Connector credentials (database passwords, API keys, service account tokens) are encrypted with AES-256-GCM using per-tenant envelope keys before storage. Raw credentials are never persisted in plaintext. All API traffic uses TLS 1.2 or higher.

Is AetherFlow compliant with HIPAA, SOC 2, GDPR?

AetherFlow is hosted on SOC 2 Type II certified infrastructure (Render and Supabase). Because document content never leaves your network, the compliance surface area is significantly reduced. We support GDPR and CCPA data subject requests. Enterprise customers can request a Data Processing Agreement (DPA). See our Security page for full details.

Can multiple teams use AetherFlow without seeing each other's data?

Yes. AetherFlow uses strict multi-tenant isolation with PostgreSQL Row-Level Security (RLS). Every query is scoped to your tenant — cross-tenant data access is architecturally impossible. Each tenant has its own encryption keys, user roles, and audit logs.

How much does AetherFlow cost?

Plans start at $999/month (Starter) for up to 1M documents with 5 connectors. The Professional plan at $2,499/month supports up to 10M documents with all connectors. Enterprise pricing is custom.

Is there a free trial?

Yes. Every plan includes a free trial period so you can set up connectors, run a test migration, and verify that AetherFlow meets your requirements before committing. No credit card required to start.

Can I switch plans later?

Yes. You can upgrade or downgrade at any time. Plan changes take effect at the start of your next billing cycle. If you need to scale up mid-cycle for a large migration, contact us and we'll work it out.

Do you offer annual billing or volume discounts?

Yes. Annual billing is available at a discount. For large-scale migrations or multi-year engagements, contact our sales team for custom pricing.

Technical Details

What are the system requirements for the AetherFlow Agent?

The agent requires Windows Server 2016+ or Windows 10/11 (64-bit), 4 GB RAM (8 GB recommended), 500 MB disk, and .NET 8.0 Runtime. Network access to your source/target ECM systems and outbound HTTPS to the AetherFlow API is required. No inbound ports need to be opened.

Can I run multiple agents?

Yes. You can deploy multiple agents across different network segments or data centers. Each agent registers independently with the AetherFlow platform and can be assigned to specific migration flows. This is useful for migrations spanning multiple locations or isolated network zones.

Does AetherFlow support incremental/delta migrations?

Yes. AetherFlow tracks which documents have been migrated and can run incremental syncs to pick up new or modified documents. This is essential for phased migrations where you need to keep systems in sync during a cutover period.

What happens if a migration fails mid-way?

AetherFlow tracks progress at the individual document level. If a migration is interrupted (network outage, agent restart, system maintenance), you can resume from exactly where it left off. Failed individual documents are logged with detailed error information and can be retried without re-processing the entire batch.

Can I transform data during migration?

Yes. The Flow Builder includes transformation rules for metadata mapping, field concatenation, value normalization, date format conversion, and conditional logic. You can also set up document type mapping between systems with different taxonomies.
